Digital Archiving Policy

IJAPSET is committed to supporting the long-term availability, accessibility, and integrity of its scholarly publications through responsible digital preservation, appropriate backup practices, and author self-archiving.

Digital Preservation Author Self-Archiving Long-Term Access

1. Policy Statement

The International Journal of Applied Science and Technology Application (IJAPSET) recognizes the importance of preserving scholarly publications and maintaining access to the academic record over time. The journal seeks to protect published content against accidental loss, technical failure, and other risks that may affect the availability or integrity of digital files.

This policy describes the journal's digital preservation objectives, backup principles, and author self-archiving guidance. Implementation of particular backup systems or external preservation services depends on the journal's actual technical arrangements and verified participation.

2. Purpose and Scope

This policy establishes general principles for preserving IJAPSET's digital scholarly content and supporting continued access to published articles and their associated publication records.

It covers published articles, article files, bibliographic metadata, issue information, and author self-archiving practices, subject to applicable copyright, licensing, confidentiality, privacy, and third-party rights.

3. Digital Archiving and Preservation Principles

01

Preservation

Support the continued availability of digital publication files and records for future scholarly use.

02

Integrity

Protect publication files and metadata against unauthorized alteration, corruption, or accidental loss.

03

Accessibility

Support access to published articles through the journal website and other authorized repository arrangements.

04

Recoverability

Where backup and recovery arrangements are available, support restoration of content following data loss or technical disruption.

4. Backup and Recovery

IJAPSET aims to reduce the risk of losing publication content and associated records through appropriate backup and recovery practices, subject to the technical infrastructure and hosting arrangements available to the journal.

Publication Files and Metadata

Backup arrangements should, where feasible, cover published article files, issue records, bibliographic metadata, and other essential journal data.

Storage and Protection

Backup copies should be appropriately protected, taking into account access controls, data security, storage reliability, and the risk of a single point of failure.

Recovery Procedures

Recovery procedures should be reviewed according to available resources. Where feasible, restoration processes should be tested to assess whether essential publication files and records can be recovered.

The actual backup frequency, retention period, storage location, and recovery-testing schedule depend on the journal's operational arrangements and should be documented by the responsible administrator.

5. Long-Term Digital Preservation Services

IJAPSET may evaluate suitable digital preservation services and repository arrangements to strengthen long-term access to its publications. Any statement that the journal participates in a specific service must be supported by verified activation or participation records.

PKP Preservation Network (PKP PN)

A preservation service designed to support long-term preservation for eligible journals using compatible Open Journal Systems configurations.

LOCKSS

A digital preservation approach supporting distributed preservation through participating libraries and institutions.

CLOCKSS

A community-governed digital archive designed to preserve scholarly publications from participating publishers.

Important: The services listed above are examples of potential preservation options. Their inclusion does not mean that IJAPSET is currently enrolled in, integrated with, or actively depositing content into PKP PN, LOCKSS, or CLOCKSS. Participation must be verified before a specific claim is made.

6. OJS and Digital Publication Records

IJAPSET uses its journal website to provide access to publication information and published content. Its Open Journal Systems (OJS) installation may contain article metadata, issue records, publication files, and other information required for journal operations.

Appropriate administrative and technical practices should be used to protect these records against unauthorized access, accidental deletion, and avoidable disruption. Software maintenance, server security, access management, and data backup should be handled according to the journal's available technical arrangements.

OJS availability alone should not be interpreted as proof of independent long-term digital preservation. External preservation participation and configuration should be verified separately.

7. Access to Archived Content

IJAPSET aims to maintain access to published articles through its official journal website, subject to technical availability, applicable law, and the relevant copyright and licensing terms.

If an article or issue becomes temporarily unavailable, the journal may take reasonable steps to restore access from available copies or backups. Where a preservation service is active, access to preserved content will follow that service's rules and procedures.

8. Author Self-Archiving Policy

Authors may deposit their work in suitable institutional repositories, subject repositories, or personal academic websites, subject to IJAPSET's copyright and licensing terms and any applicable third-party rights.

Unless a separate restriction applies, IJAPSET permits authors to share the versions of their manuscripts described below, subject to the applicable publication terms. Authors should ensure that deposited files are accurately identified and do not misrepresent an earlier manuscript as the final published version.

Manuscript Version Self-Archiving Guidance
Submitted Version Authors may share the original submitted manuscript, provided that applicable copyright, confidentiality, privacy, and third-party rights are respected.
Accepted Version Authors may deposit the accepted manuscript after peer review, subject to the journal's applicable publication terms and any relevant agreement.
Published Version Authors may share the final published version in accordance with the applicable license and copyright terms. Where available, the DOI and official article URL should be included.

Version identification: Authors should clearly label each deposited file as the submitted version, accepted version, or published version. The applicable license and any separate publication agreement take precedence if they impose specific conditions.

9. Permitted Self-Archiving Locations

Subject to applicable licensing, copyright, privacy, and repository rules, authors may deposit permitted manuscript versions in locations such as:

Institutional Repositories

University and research institution repositories.

Subject Repositories

Repositories relevant to the research discipline.

Personal Academic Websites

Author-controlled scholarly or professional websites.

Research-Sharing Platforms

Platforms that permit the relevant manuscript version under their terms.

10. Requirements for Authors Depositing Articles

Authors who self-archive IJAPSET publications are encouraged to provide complete and accurate bibliographic information. When applicable, deposited records should include:

  • The full article title and author names.
  • The journal title: International Journal of Applied Science and Technology Application (IJAPSET).
  • The publication year, volume, issue, and page range or article number, where available.
  • The article DOI, if assigned.
  • A link to the official version on the IJAPSET website.
  • The applicable copyright and license information.
  • A clear indication of whether the deposited file is a submitted, accepted, or published version.

11. Copyright, Licensing, and Third-Party Rights

Self-archiving must comply with the copyright and license terms applicable to the specific article and manuscript version. Authors should review the applicable IJAPSET copyright and licensing provisions before depositing a file, particularly when sharing the published version.

Authors are responsible for checking whether figures, photographs, tables, datasets, appendices, or other third-party materials are subject to separate permissions or restrictions. Permission to share an article does not automatically grant permission to redistribute material owned by another rights holder.

Authors must not deposit confidential material, personal data, or restricted content in a manner that violates legal requirements, ethical obligations, participant consent, or applicable agreements.

12. Corrections, Retractions, and Version Integrity

Digital preservation should maintain the integrity of the scholarly record. When an article is corrected, retracted, or subject to an expression of concern, the journal should preserve appropriate publication records and provide relevant notices in accordance with its editorial policies.

Authors should update repository records where reasonably possible and link to the relevant IJAPSET notice. Previously deposited files should not be used to misrepresent the current status of the scholarly record.

13. Roles and Responsibilities

Publisher and Journal Management

Support preservation planning, review available infrastructure, and ensure that public statements accurately reflect actual archiving arrangements.

Technical Administrator

Manage relevant system configuration, access controls, backups, maintenance, and recovery procedures within assigned responsibilities.

Authors

Select an appropriate manuscript version, comply with applicable terms, obtain required permissions, and provide accurate bibliographic information when depositing articles.

14. Policy Review and Implementation

IJAPSET may review and update this policy when its technical infrastructure, preservation arrangements, licensing provisions, or publishing practices change.

Implementation depends on the journal's actual operational capabilities and the services it has verified and adopted. The journal should update this page when preservation arrangements materially change so that authors, readers, and indexing services receive accurate information.
